How to increase distribution of resources

Distribution work is an integral part of the Publications ministry. As much effort is taken to write and publish content, there needs to be equal effort in thoughtfully distributing so the books reach the hands of readers who need the resources for their personal learning and growth. A distribution team usually comprises a head or a supervisor who oversees the inventory, the warehouse maintenance, as well as plans the distribution of books published throughout the year.

1. Research and analysis: The backbone of successful distribution is research and analysis which help identify different categories of readers. There must be a systematic approach to research. For example, studying the concentration of language-speaking population in different regions and subsequent distribution of language-specific books to those regions, or studying Christian outreach ministry in different regions and subsequent contact with organizations to support their outreach ministry with book resources in those regions, etc. With thoughtful planning, readers eagerly looking out for Christian literature to grow in their faith can be reached and supported with good Christian literature.

2. Data collection: Data is an invaluable asset. In order to maximize distribution, always have a master data sheet to track all the individuals, pastors, organizations that come in contact with the Publications team. Rigorous data maintenance will ensure all contacts are reached out for any new book promotion. Include headings in the data sheet such as full name, main contact number, additional contact number, address with Pin code, languages preferred, books requested, etc. to ensure all necessary contact details are available. A good practice is to obtain information immediately when any information is missing for a contact entry.

3. Create categories from data: After collecting data, the next step is to study data and infer valuable insights for distributions. At the outset, there are obvious categories that can be identified such as big organizations, grassroot level ministries, Pastors, individuals, etc. Based on the categories, create distribution plans catering to their requirements. With further study, a more intuitive understanding of data can be inferred. For example, from data collected, it may appear that for Christian leadership training programs there is a common request for marriage-related resources as well. Hence, a conclusion could be made to suggest books on marriage whenever book requests come for Christian leadership training programs. Other categories can be Christian institutions, mission hospitals, bookstores, bible colleges, professionals in different areas of business, annual conferences, etc.

4. Utilize available platforms for promotions Good marketing and promotion can significantly increase distribution of resources throughout the year. One readily available platform is the book itself – a page dedicated for including methods of placing book requests, a list of other available titles, contact information, etc. Other platforms such as social media can be efficiently used to promote new book releases as well. During events, make use of posters or flyers to be given to attendees. Church announcements during Sunday services, WhatsApp push messages can also be used to keep readers aware of new book releases, and also season-related titles such as during Easter or Christmas.

5. Standard book request procedure Maintain one main mode of ordering books in the promotions to ensure there is familiarity among readers on how to order your books. This mode of ordering must be simple and easy. Alternate method(s) can also be kept ready in case of any technical issues or challenges faced by the readers while placing orders.

6. Communication with readers Newsletters, emailers, festive greetings and offers are some simple ways to engage with the readers on a regular basis. On the preface pages or at the back cover, include testimonies of readers who have been blessed by that specific title to encourage other readers to pick up the copy.

7. Seasonal distributional plans Make the best use of different seasons through the year where people would be more likely to pick up books. During the months leading to Christmas, Easter, New Year, different bookstores, organizations, churches can be approached for distributing books or promoting the titles. A collection of titles all under one topic can be packaged as a set and distributed so an extensive study can be done on that topic by those keenly interested.

8. Digital distribution The organization website if available can be used to promote distribution of books. Make sure there is information on the landing page to direct the readers’ attention to available books. Those visiting the organization’s website must be able to quickly note the availability of book resources. PDFs of books can be made available for downloads from the website. Google books and Amazon can also be used for digital distribution.

Case studies can be conducted for assessing problem areas as well as taking notes of good practices. The distribution plans can be assessed and revised for improvements in packing processes, hiring of laborers, delivery timelines, courier procedures, etc. Team meetings can be held to problem solve if multiple failed deliveries have occurred. As much as possible, the aim is to ensure no books are returned so all copies are in the hands of the readers.
